Create Organizational Agreements

Note Only an account administrator can create and manage organizational agreements. If you are not an administrator, you can skip this section.

Before you create an agreement, you can optionally create inboxes to receive data of a certain type. This categorization of inboxes allows you to organize your incoming data. Alternately, you can use the default inbox for non-specific communications.

To start exchanging data with your partners, create an organizational agreement that defines the inboxes you want to use to receive data from your partner.

To create an organizational agreement:

  1. Open the MFT service web portal in a browser.
  2. Click , in the Connectivity Agreements section, on the Organizational tab, click Create Agreement.
  3. In the Create Organizational Agreement dialog, in Select a partner, from the drop-down list, select your target partner or enter the name of your target partner. The partner list is pulled from Trading Partner Management (TPM). You can create a Trading Partner only through TPM.

    After you have selected the partner, general information on the partner is displayed under Select a partner.

    • If you want to send data to your partners, click I want to send data, and then add users to the trusted users' list to provide these users with access permissions to shared partner inboxes. When you add a new user to the trusted users' list, this user will be provided with access permissions to only newly shared partner inboxes. To add a user, enter a user's name or the email to retrieve the user or select a user from the list.
    • If you want to also receive data from your partner, click I want to receive data, select the inboxes you want to share from the list in the Shared Inboxes section.
    • Note Skip this steps, if you do not want to receive any data from your partner.

  4. In Comment, enter an informative description, and then click Create.

The agreement is created and the agreement invitation is sent to the selected partner.

When you have sent your agreement invitation, the Pending Partner Action status is assigned to the agreement in the Partner Agreements table, where you can view all your agreements. When your partner accepts your agreement invitation, the status of the agreement changes to Completed, and you can start sending and/or receiving data to/from your partner.

After your partner has accepted or rejected the invitation, you receive an email notification and a notification in the MFT service web portal with your partner's response. After your partner has accepted the invitation, a new connection is established, and you can start exchanging data with your partner.

If your partner has not accepted your invitation yet, and your organizational agreement is still pending, you can cancel the invitation. To do this, in the agreement's details section, next to the agreement name, click Archive Agreement. Your partner receives an email notification and a notification in the MFT service web portal of your agreement invitation cancellation.

You can edit a list of shared inboxes in the agreements you created or accepted anytime.

To edit an organizational agreement:

  1. Click , in the Connectivity Agreements section, on the Organizational tab, in the Partner Agreements table, select a partner agreement you want to edit.
  2. In the agreement's details section, on the Shared Inboxes tab, click Edit.
  3. In the Edit Shared Inboxes dialog, select the inboxes you want to share.
  4. In Comment, enter an informative description, and then click Apply.

After you have edited the organizational agreement, your partner receives an email notification and a notification in the MFT service web portal with your agreement updates.

You can cancel an organizational agreement anytime.

To cancel an existing organizational agreement:

  1. Click , in the Connectivity Agreements section, on the Organizational tab, in the Partner Agreements table, select a partner agreement you want to cancel.
  2. In the agreement's details section, click Archive Agreement, and then click Archive to confirm your selection. The organizational agreement is removed from the list in the Partner Agreements table.

After you have canceled the organizational agreement, your partner in that agreement, receives an email notification and a notification in the MFT service web portal of your agreement cancellation.

In the Organizational section, above the table Partner Agreements, you can view the total number of agreements, search for a certain agreement, and filter the agreements by a certain status. To filter the agreements, above the table Partner Agreements, click Total or click the agreement status (Action Required, Waiting, Completed) you require.

In the table Partner Agreements, you can view the agreements concluded with your partners with the following details:

Field Description
Partner Name The name of your partner with whom you have an organizational agreement.
Partner ID An identifier assigned to your partner to retrieve data that correlates to this partner.
Status

The current status of the agreement. The following statuses can be assigned to the agreement:

  • Action Required: The agreement invitation you have received from your partner is waiting for your response.
  • Pending Partner Action: The agreement invitation you have sent is waiting for your partner's response.
  • Completed: The agreement invitation you or your partner have accepted.
