Manage Programs

To create a program:

1. Open Onboarding and Testing Cloud Service.
2. On the toolbar, click Programs in Design ().
3. On the Programs In Design page, at the top right, click Create Program.
4. In the Create Program pane, enter Name and Description for the program.
5. Select Allow Partner to Self-Enroll if you want your partners to self-enroll in your program. Such a program is visible to all the partners, while a program without this option enabled is visible only to the partners who are enrolled in that program by a certain program owner.
6. Enter the Start Date and the End Date of the program.
7. Under Program Owner(s), select the users that you want to make program owners. By default, the user creating the program is marked as the program owner.
8. Click Save. Onboarding and Testing Cloud Service saves the program with the status In Design and displays it on the Programs In Design page.

Note Only a program owner or an admin user can modify/delete a program or perform any operation with a program. Other users have read-only access to the program.

After you have designed a program, publish it to make the program active. When you publish a program, Onboarding and Testing Cloud Service sends out invites to the enrolled partners. The published programs become active on the start date specified in the configuration.

Note You cannot publish programs that contain no tasks.

To publish a program:

1. On the Programs In Design page, click the name of the program you want to publish.
2. At the top right, click Publish, and then click Confirm. The program is displayed on the Active Programs tab of the Programs page.

You can enroll/disenroll the trading partners that you want to add as program participants in/from any program.

To enroll a partner in a program:

1. Click the program name on the Programs In Design page or on the Active Programs tab of the Programs page.
2. On the Partner Enrollments tab, click Enroll Partners or Enroll.
3. On the overlay that opens, enter the purpose of enrollment, select the partners that you want to enroll in the program, and then click Enroll.

Note A partner can be enrolled in the same program multiple times. For example, when a vendor organization is going through their application onboarding process, the organization can enroll the vendor organization multiple times in the same program for different applications.

Partners can self-enroll themselves in a certain program.

To disenroll a partner:

1. Click the program name on the Programs In Design page or on the Active Programs tab of the Programs page.
2. On the Partner Enrollments tab, hover over the enrolled partner you want to disenroll, and then click .

You can cancel an invitation of a partner who has been invited to be enrolled in your program but has not accepted your invitation yet.

To cancel an invitation:

1. Click the program name on the Programs In Design page or on the Active Programs tab of the Programs page.
2. On the Partner Enrollments tab, hover over the invited partner for whom you want to cancel the invitation, and then click .

You can modify a program through the Program Setup tab on the program details page.

To modify a program:

1. On the Programs In Design page, click the name of the program you want to modify.
2. On the program details page, on the Program Setup tab, you can:
3. Change the program name.
4. Edit the program's description.
5. Change the start and the end date.
6. Add or remove program owners.
7. Enable/disable partners'self-enrollment in this program.
8. Add, disable, or modify tasks.
9. Add a welcome note.

You can also modify a program that has already been published.

To modify a published program:

1. On the Active Programs tab of the Programs page, click the name of the program.
2. On the program details page, on the Program Setup tab, you can:
3. Edit the program description.
4. Add/remove program owners.
5. Edit the program end date.
6. Manage tasks.
7. Add or edit the welcome note.

You can delete an In Design program anytime. When you delete the program in the In Design state, the program disappears completely.

Note The programs in states Published, Active, or Ended cannot be deleted.

To delete a program with the state In Design:

1. On the Programs In Design page, click the program name.
2. On the program details page, click , and then click Delete.

You can end a published program anytime. When you end a published program, the program becomes inactive and shows up under the Inactive Programs tab, on the Programs page, and on the Enrolled Programs page.

Note You, as a program owner, can have the Enrolled Programs module available only as a premium add-on.

Onboarding and Testing Cloud Service ends the program automatically on the end date specified in the program configuration.

To end a published program:

1. Click the program name on the Active Programs page.
2. On the program details page, click , select End, and then click Confirm.

When you create a program, enroll partners in the program, and publish the program, Onboarding and Testing Cloud Service sends out invites to the enrolled partners. In the same way, when another organization’s program owner enrolls your organization in a program, you receive an invite which you can then accept or decline. To accept or decline a program invite, open the Program Invites tab on the Enrolled Programs page, and then click Accept or Decline.

To view more information on the program that you have been invited to join, click the program name. After reviewing the details, click Accept Program Invitation or Decline Invitation.

As a program owner, you can:

• View the task summary for all of your programs on the Programs page.
• Monitor the progress of a program in detail on the Overview tab of the Programs page.

As a program participant, you can:

• View the task summary for all of your enrolled programs on the Active Programs tab of the Programs page.
• Monitor the progress of a program in detail by clicking the program name on the Active Programs tab of the Programs page.
